Job Objective / Purpose
The Admin Analyst helps ensure that the office runs smoothly by providing support for both administrative tasks and facilities management. This role includes organizing office supplies, coordinating maintenance activities, and assisting teams with their day-to-day office needs. She will report to the Admin Supervisor.
Background and Qualifications
- Bachelor’s degree or equivalent experience in office administration or related field
- 2+ years of experience in an administrative or coordination role preferred
- Strong organizational and multitasking skills with attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Able to work well with others and follow instructions
- Ability to handle confidential information with discretion
- Comfortable working in a fast-paced environment and meeting deadlines
- Problem-solving skills and ability to work independently as well as part of a team
- Customer service mindset and professional demeanor
- Willing to assist with various office needs and task
Duties and Responsibilities
- Coordinate daily office operations and provide admin support
- Manage office supplies inventory and place orders when needed
- Help coordinate office repairs, cleaning, and maintenance with vendors or service providers
- Assist with office space setup and workstation arrangements
- Support scheduling of meeting rooms and office equipment use
- Handle incoming calls, emails, and messages professionally
- Help organize company events, meetings, and trainings
- Assist with document filing and record keeping
- Support travel bookings and logistics when needed
- Ensure office policies and safety guidelines are followed
- Liaise with IT, security, and facilities teams for smooth office operations
- Assist in tracking office expenses and processing invoices
- Provide general support to staff and management as needed
- Maintain organized filing systems for physical and digital records
- Ensure compliance with company policies and procedures related to office administration
