Job Objective / Purpose:
The Healthcare Administrative Supervisor will provide efficient administrative support and coordinate various projects, ensuring smooth operations and timely completion of task in alignment with organizational goals.
S/he will assist in the planning, execution, and monitoring of projects, while managing daily administrative functions such as scheduling, documentation, and communication. The role is designed to enhance operational efficiency, support project managers, and ensure that all assigned task are completed on time within the scope.
This role will be hired under Health Delivery System, Inc. - a RelianceUnited company.
Duties and Responsibilities
- Project Coordination
- Assist in planning, scheduling, and tracking project timelines, milestones, and deliverables.
- Collaborate with project managers and teams to ensure projects are completed on time and within scope.
- Prepare and maintain project documentation, reports, and presentations.
- Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments for management and project teams.
- Organize and maintain files, records, and correspondence, ensuring accessibility and confidentiality.
- Prepare memos, emails, and other communications as needed.
- Communication and Liaison
- Serve as a point of contact between departments, project teams, and external stakeholders.
- Facilitate communication by distributing project updates, tracking progress, and addressing inquiries.
- Draft and distribute meeting agendas and minutes.
- Logistics and Event Coordination
- Organize project meetings, events, and workshops, including booking venues, arranging travel, and managing logistics.
- Coordinate the delivery of resources and materials required for project.
- Financial and Resource Management
- Assist in budget tracking, including monitoring expenses and processing invoices.
- Order office supplies and equipment as needed for project and administrative tasks.
- Compliance and Reporting
- Ensure compliance with company policies and procedures during project execution.
- Assist in compiling and submitting reports on project status, budget, and outcomes.
- Problem-Solving and Support
- Provide ad-hoc support to project teams and management by handling urgent tasks or resolving issues as they arise.
- Assist with the implementation of new processes and improvements to enhance efficiency.
Background and Qualifications
- Education
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Experience
- At least 2-3 years of experience in administrative support, project coordination, or office management.
- Skills
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
- Ability to work independently and collaboratively in a fast-paced environment.
- Detail-oriented with strong problem-solving and time management skills
Work Conditions:

- To be assigned in Greenfield District, Mandaluyong City
- Occasional evening or weekend work may be required as job duties demand
